EICR Software: How UK Electricians Should Compare Options

EICR Software: What to Check Before You Commit

Most pages about EICR software are sales pages. Loads of feature claims, not much on how to verify any of it on real jobs

If youre switching platform, the risk isnt just wasted subscription spend. Its broken workflows, poor evidence trails, and report headaches when you need clean handover

This guide is the practical version: what to check, what to test in trial week, and how to decide without guessing

Quick Summary

  • Treat this as a workflow decision, not a feature-shopping exercise
  • Check compliance context first: BS 7671 form alignment and rented-sector evidence duties where relevant
  • Test offline behaviour, sync conflict handling, observation workflow, and export quality on real job data
  • Run the same test script across every shortlisted tool before you commit
  • Keep pricing as a verification item during trial, because plans and limits move

What EICR Software Must Support In Real UK Workflows

At minimum, the software needs to help you do 3 things reliably:

  • capture inspection findings consistently
  • produce usable reports and certificates
  • keep records clear enough for later review, handover, or audit trail checks

Nice UI is fine, but it does not rescue weak workflow logic. If observations, coding, and final report output are clunky, youll lose more time later than you save in onboarding

Compliance Baseline: BS 7671 Forms And Rented-Sector Evidence Duties

BS 7671 is co-published by IET and BSI, with development under JPEL/64. For software selection, the point is simple: your output needs to align with the forms and reporting structure youre actually working to, not just a marketing line saying "compliant"

In England rented-sector context, government guidance states electrical installations must be checked at least every 5 years by a properly qualified person, and evidence duties apply to landlord and tenant documentation. That context now includes social rented sector in the 2025 guidance update

Use this as context, not a blanket interval statement for every scenario. The practical takeaway is that report clarity and retrievability matter, because evidence requests are real, not theoretical

Feature Claims That Matter vs Feature Fluff

Vendors usually push:

  • offline mode
  • cloud sync
  • multi-device collaboration
  • AI-assisted observations or certificate workflows

Those can all be useful. But none should be accepted at headline level. Treat them as test items

What matters in practice:

  • does offline entry stay intact after reconnect
  • does sync create conflicts, and if yes, how visible and recoverable are they
  • can different users hand over jobs cleanly without data drift
  • are observation workflows consistent, or do they nudge inconsistent coding
  • do generated PDFs stay readable and structured across common client handoff paths

Migration Risks: Data Lock-In, Exports, And Multi-User Handover

This is where plenty of teams get caught:

  • exports exist, but are partial or awkward
  • attachment/history trails do not transfer cleanly
  • role and permission handling breaks handover between admin and field users

Before switching, verify:

  • export formats available, and what fields are included
  • whether historical reports remain searchable after migration
  • whether job ownership and edit history stay obvious in multi-user setups

If a platform cant give you a clear answer here, thats a risk flag

Practical Comparison Matrix For Trial Week Decisions

Run a scorecard across every shortlisted tool on the same test jobs

CriteriaWhat to verifyPass signalRisk signal
Compliance structureForm/report output aligns with your required workflowReports are consistent and usable without manual patchingFrequent manual corrections needed
Speed under loadTime from start to completed report on realistic jobsPredictable turnaround with no major blockersFast demo, slow real-job execution
Offline + sync reliabilityCapture offline, reconnect, inspect conflict handlingClean merge/recovery path, no silent data lossMissing entries or unresolved conflicts
Team workflowHandover between users/devicesClear ownership, revision visibilityConfusing ownership or duplicate edits
Cost transparencyReal plan limits during active useLimits and extras are clear before commitKey limits discovered late

Trial Test Script: 10 Job Tasks

Use the same script in every tool:

  1. start a new EICR record on mobile
  2. add a full set of observations with mixed code severities
  3. work offline for part of the record
  4. reconnect and sync
  5. edit the same record from a second device or user
  6. resolve any sync conflict
  7. generate final report/PDF
  8. export records and check field completeness
  9. retrieve the record by search after a delay
  10. hand the job to another user for final sign-off

If a tool fails repeatedly on these basics, dont overthink the decision

Stay Or Switch: Simple Flow

  • pain is minor and current system is stable: stay and optimise current process
  • pain is recurring and tied to report/admin bottlenecks: shortlist alternatives
  • shortlist cannot pass trial script: do not switch yet
  • one platform passes with clear migration and handover behaviour: switch with staged rollout

Implementation Checklist For First 30 Days

  • lock your required outputs and reporting standard before full rollout
  • run pilot jobs first, not full team migration on day one
  • document observation and coding conventions internally
  • check exports and record retrieval in week one and week four
  • assign one owner for rollout decisions and issue triage
  • review trial scorecard before contract commitment

Where TestFast Fits

Once youve run a neutral checklist, test how TestFast performs against the same trial script. Keep the bar identical: workflow speed, reporting consistency, and record clarity

If it passes those checks in your own jobs, its a valid choice. If not, you keep looking. Thats the right way to buy software

You can also use the TestFast page as a direct comparison point, and the max Zs calculator as a supporting check in wider inspection workflow
